7.4. Create an event in RubiCRM to pass to Eventbrite
In the event/training record, you can pass the event/training course that you have created in RubiCRM to be created in Eventbrite.
If an event/training course within RubiCRM has not already been linked to an event in Eventbrite, you can click the () icon to begin the process of creating the event in Eventbrite.
Event Setup
When you start the process, a pop-up will ask for the details below.
Eventbrite Account
Choose the Eventbrite account under which the event will be created.
Default: the connected account if none is selected.
Organisation
Select the organisation hosting the event.
Default: the account’s primary organisation.
Event Name (Required)
The public title of the event. The event cannot be created without a name.
Summary
A short public description of the event.
If blank, no description appears.
Event Start (Required)
The date and time the event begins.
Event End (Required)
The date and time the event ends.
Time Zone
Ensures event times display correctly.
Default: the account’s time zone.
Currency
Currency used for ticket pricing.
Default: the organisation’s currency.
Event Capacity
Maximum total attendees.
If blank, no event-level capacity is applied.
Online Event
Mark the event as online.
If not selected, the event is treated as in-person.
Venue (for in-person events)
Venue Confirmed (Required for in-person events)
Confirms a physical venue is arranged.
If not confirmed, publishing may be restricted, and the venue is marked as tentative.
Venue details appear when Venue Confirmed is selected.
Venue Name (Required)
Name of the location (e.g., hotel, conference centre, office).
Venue Capacity
The maximum number of tickets.
If blank, no limit is applied.
Address Line 1
Primary street address.
If blank, the address will be incomplete.
Address Line 2
Additional details (e.g., building name, floor).
Optional.
City
Town or city where the venue is located.
If blank, address validation may fail.
Postcode
Postal or ZIP code.
Optional but recommended.
Country
The country where the event takes place.
Default: organisation’s country.
Visibility & Access
Public
Controls whether the event appears in public Eventbrite listings.
Default: public and searchable.
Shareable
Allows sharing via social media and Eventbrite tools.
Default: sharing enabled.
Invite Only
Restricts access to invited attendees only.
If off, anyone with the event page link can register.
When Invite Only is enabled, additional controls appear:
Password
Requires a password to view or register.

If blank, invited users access without a password

If set, you must share the password with attendees
Submission
Submit
Creates the event in Eventbrite.
After submission:

The event is created as a draft

Access rules (invite-only, password) are applied

The event must be published before registrations open
Key notes

Passwords are only available on Invite Only events

Public events cannot be password-protected

Invite-only events can still be shared by direct link (if allowed)
Create Ticket in Event
Ticket Type (Required – select one)

Paid – attendees pay a fixed price

Free – no cost

Donation – attendees choose the amount
Price (decimal only)
Price per ticket.
Required for Paid tickets; not used for Free/Donation.
Absorb Fees (Required)
Choose whether the organiser absorbs fees or passes them to attendees.
Available for Paid and Donation tickets.
Ticket Name (Required)
Public ticket label shown to attendees.
Description
Optional text displayed with the ticket.
Available Quantity
Total tickets available for this ticket type.
If blank, unlimited (subject to venue/event limits).
Min. Tickets per Order (Required)
Minimum number of tickets per order.
Default: 1.
Max. Tickets per Order (Required)
Maximum number of tickets per order.
Default: 10.
Sale Start
When ticket sales open.
If blank, sales start when the event is published.
Sale End
When ticket sales close.
If blank, sales remain open until the event ends or sells out.
Show End Date and Status
Controls whether ticket end dates and availability appear to attendees.
Default: enabled.
Visibility (Required)
Controls whether the ticket appears on the event page:

Sales Channel (Required)
Where the ticket can be sold.
If not selected, the ticket cannot be created.
Delivery Method (Required)
How attendees receive tickets (e.g., e-ticket, mobile ticket).
If not selected, the ticket cannot be created.
