7.3. Using the integration
Step 1
Navigate to the Eventbrite page by going to Main Menu -> Events/Training -> Eventbrite.
Step 2
Select the Eventbrite Account you wish to connect to.
Step 3
Select the Eventbrite Organisation to connect to.
Step 4
Select an Eventbrite Event to manage.
Step 5
Eventbrite Events not linked to an event within RubiCRM will display a button to link to an event in RubiCRM.
Step 6
Ticking the event in the list and clicking Link To Rubi Event will open a pop-up with an Event field where you can select which event within RubiCRM you wish to link the Eventbrite event to.
Step 7
Eventbrite Events linked to an event in RubiCRM will display a button to compare the attendees when ticking the event in the list.
Step 8
Ticking the event and clicking the Compare Attendees button will provide you with a list of attendees already added to the event within the CRM system, and on the right, a list of the attendees within the Eventbrite system.
The different icons against the Eventbrite attendees relate to different situations. Hover over the icons in RubiCRM to reveal their meaning:

Booking Exists Meaning the attendee on Eventbrite already has a booking for them against the event in RubiCRM. |

Contact Match Found. Booking will be inserted. The attendee in Eventbrite does not yet have a booking against the event in RubiCRM. A contact match has been found so the booking will be inserted when the integration is run.

No Contact Match Found. New Guest Record will be inserted. The attendee in Eventbrite does not yet have a booking against the event in RubiCRM. A contact match has NOT been found, so the booking will be inserted alongside a new Primary Record and Contact Record when the integration is run. Contact Matches Found. This will be ignored. The attendee in Eventbrite does not yet have a booking against the event in RubiCRM. More than one contact match has been found. The system does not know which contact to associate the booking so it will need to be added manually, as when the integration is run, it will be ignored. |
Step 9
To run the integration, click the Insert Eventbrite Attendees button. This will insert the bookings where the system can against the event in the CRM. It will update the two grids to reflect the changes
Inserting Primary Record and Contact Record
If an Eventbrite attendee does not have a contact record already within the CRM, the integration will create one.
RubiCRM will create a new Primary Record, setting the General -> Comp/Ind field to Guest.
RubiCRM will also set the Membership/Customer -> Source field to Eventbrite.
This will allow you to filter these records in the Main Menu -> Records -> All Records page or the Reports module.
